Before Your First Visit

Paperwork

Please complete the New Patient Paperwork by clicking the link sent to your email once you schedule your appointment.  If you need to fill it out at the center, please arrive 15 minutes prior to your appointment time.

Food

Please eat lightly a few hours before treatment – it is best to have some food in your belly prior to treatment.

Clothing – Community Acupuncture Patients Only

Wear loose clothing.  The points we choose are most often located below the elbows, below the knees, and on the head and ears (regardless of where your issue is located).

At Your First Visit

Arrival Time

Please arrive 5 minutes early to your appointment (15 if you need to fill out paperwork).

Wait in the reception area; the acupuncturist will meet you there.

On Return Visits

Private treatment patients – check room assignment at the front desk.

Community Acupuncture patients – remove shoes, silence cell phones, and make yourself comfortable in a chair in the treatment room. The acupuncturist will meet you there, ask you questions, and then give you a treatment.

Payment Information

Private Treatments

All private treatments are on a set-fee schedule.

We accept cash (sorry, no change available), checks, as well as Visa, MC, Discover, American Express, and Apple Pay.

All patients NEW TO URBAN ACUPUNCTURE CENTER scheduling a PRIVATE session are asked to pay a $40 deposit to confirm their appointment. The deposit will be applied to the total cost of the treatment.  Deposits are refundable if you cancel within 48 hours of your appointment time – there are no refunds after this time.   We value your time, as well as our practitioners’ time, energy, knowledge, and skill.  As such, if you fail to complete your paperwork or pay the deposit within 48 hours of your scheduled appointment, we will cancel it so another person may fill that time slot.

Community Acupuncture Payment Range

First visit $45-$65, return visit $35-$55.  Pay what you can afford within payment range; no questions asked.

Insurance Information

We do not bill insurance directly.  Therefore, we are considered an out-of-network provider.  If you have insurance that covers acupuncture, you can request a billing statement from us to submit to your insurance company for reimbursement.  Or, you may use a flexible spending or healthcare savings account to pay for your acupuncture treatments.

Cancellation Policy

We request 24 hours notice in advance of an appointment if it is necessary to cancel or reschedule that appointment.  You can do so by calling us or changing your appointment online (please note – online requires 24 hours’ notice).  All community acupuncture appointments cancelled or rescheduled with less than 24 hours’ notice and appointments missed without notice will be charged a $15 fee; $30 for private treatments.  If appointments have been purchased with a gift certificate or as part of a package, missed, cancelled, or appointments rescheduled less than 24 hours in advance will be deducted from the number of remaining appointments.  Thank you for your understanding.

Most patients schedule online but you can also call (614) 725-2488, and someone will assist you with scheduling.  If you are new to Urban Acupuncture (even if you have had acupuncture before), please schedule a Consultation and First Treatment appointment (for Community Acupuncture) or a Private Consultation and First Visit for a private session.

 

New PatientsBeing Treated in a Community Acupuncture Setting

The treatment room is intended to remain a quiet space for you and others to relax.  We appreciate everyone’s presence – we find this kind of collective stillness a rare and valuable thing in our rushed and isolating society.  Maintaining this reservoir of calm requires that no one talk very much in the treatment space or in the reception area.  We ask that any speaking be done in a whisper or very low tone of voice.  We ask that the lobby also remain a quiet space.  Talking is of course necessary and acceptable, but please keep voices as low as possible to allow those still being treated to relax.

Part of our success relies on our patients learning the ‘routine’ and taking on responsibility for their appointments.  Please try re-scheduling and making payment at the front desk before each treatment, so you can relax and enjoy the treatment without concern for details afterwards.  Please remove your shoes and place them in the area provided.  Feel free to hang your coat on the rack or take it along with your other personal belongings back into the treatment room (you will find baskets on the floor to place them in).  And of course, please mute your cell phone before coming into the treatment room.

Your responsibilities:  we do not provide primary care medicine.  Acupuncture is a wonderful ally to western medicine, but it is not a substitute for it.  If you think you have a potentially serious condition such as an infection, unexplained weight loss or gain, consistent chest pain, a suspected fracture or dislocation, severe sudden abdominal pain, unexplained bleeding, respiratory distress etc. or if you want a doctor to go over the details of your medical history, you should either visit your primary care physician or go to the local emergency room, as appropriate.  Please do not expect us to diagnose and treat something life threatening.  However, we can provide medical care for many other conditions very effectively.

If you are currently experiencing fever or an active cough, please do not come in to be treated until resolved.

Veterans

Urban Acupuncture Center is a licensed provider with the U.S. Veteran’s Administration for acupuncture and massage therapy.  If you are a Veteran, please contact your local VA and ask for a direct referral to Urban Acupuncture Center.  Only those veterans with an active referral from the VA are eligible for this benefit.

Worker’s Compensation

Urban Acupuncture Center is an authorized provider with the Ohio Bureau of Workers’ Compensation.  If you already have a claim with prior authorization for acupuncture through the OhioBWC, you are eligible for this benefit.
